Privacy Policy

Effective date: December 15, 2025

NexDesk (“NexDesk”, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have when you use our website and services.

This Privacy Policy applies to:

  • our website: https://nexdesk.app (“Website”), and
  • our Telegram-based helpdesk bot subscription and related services (“Service”).

If you do not agree with this Privacy Policy, please do not use NexDesk.

1) Who we are and how to contact us

Brand: NexDesk
Country of operation: Philippines
Contact email: [email protected]

If you have questions about this Privacy Policy or want to request data access or deletion, email us at [email protected].

2) What information we collect

We collect information in three main contexts: (A) Website visitors, (B) our clients (people paying for the subscription), and (C) end-users (people messaging a client’s support bot).

A) Information from Website visitors

Depending on how you use the Website, we may collect:

  • Basic usage data (e.g., pages visited, approximate location/country, device/browser type)
  • IP address and security logs (for fraud prevention and site protection)
  • Cookies required for site functionality (and any optional analytics cookies, if enabled)

B) Information from NexDesk clients (subscribers)

When you purchase or use NexDesk, we may collect:

  • Telegram identifiers (Telegram user ID, username, display name) used to operate your customer portal and subscription flows
  • Bot setup data you provide (such as bot token and support configuration details)
  • Support conversations and setup messages you send to us during onboarding or troubleshooting
  • Payment-related data for crypto payments (see Section 4)

C) Information from end-users (your community/support users)

When end-users message a client’s helpdesk bot powered by NexDesk, we may process and store:

  • Telegram user ID, username, display name
  • Message content and attachments sent in the support chat
  • Ticket transcripts, ticket timestamps, category selections, and basic interaction metadata (needed for ticket management)

3) How we use the information

We use the information we collect to:

  • Provide and operate the Service (create tickets, route messages, show staff dashboards, store transcripts, etc.)
  • Activate and manage subscriptions and account access
  • Verify payments and handle billing-related issues
  • Provide support and troubleshoot issues
  • Prevent abuse and fraud, enforce our rules, and protect users and our infrastructure
  • Improve reliability and performance (monitor errors, stability, and uptime trends)

4) Crypto payments and blockchain transparency

NexDesk accepts subscription payments in USDT/USDC on BSC (Binance Smart Chain) only.

When you pay, we may store:

  • transaction hash (tx hash)
  • wallet address used for payment
  • token type (USDT/USDC), amount, timestamp
  • verification status and internal reference IDs

Important: blockchain transactions are public by nature. Even if we delete internal records, the on-chain record remains visible on the blockchain.

We do not collect credit card details because we do not process card payments.

5) Legal bases for processing

We process personal data where it is necessary to:

  • perform a contract (deliver the subscription service you paid for),
  • comply with legal obligations (where applicable),
  • protect legitimate interests such as security, fraud prevention, and service reliability, and/or
  • based on consent where you choose to provide certain information voluntarily.

6) How we share information

We do not sell your personal information.

We may share information only as needed to run NexDesk, including:

  • Service providers that help us operate (hosting, databases, logging/monitoring, email delivery)
  • Telegram (because the Service operates through Telegram’s platform and APIs)
  • Infrastructure/security providers (for performance and protection, such as DDoS mitigation)
  • Legal/authorities if required to comply with applicable law, lawful requests, or to protect rights, safety, and prevent abuse

7) Data storage and international transfers

We store Service data using Supabase (database and related infrastructure). Depending on provider configuration, your data may be processed and stored in regions where our service providers operate.

By using NexDesk, you understand that your data may be transferred and processed outside your country of residence depending on infrastructure location and routing.

8) Data retention

We keep data only as long as needed to provide the Service.

General retention approach:

  • While a subscription is active: ticket data, transcripts, and operational records are retained to keep the helpdesk working.
  • After a subscription becomes inactive/expired: we aim to delete client ticket data and related support records from our Supabase database.
  • Payment verification records: we may retain payment hashes/verification records for operational, audit, fraud prevention, and dispute-handling purposes.

If we are required by law or a valid legal request to retain specific data longer (for example, to address fraud, abuse, or official inquiries), we may retain relevant records as necessary.

9) Your choices and rights

You may request:

  • Access to the personal data we hold about you
  • Correction of inaccurate data
  • Deletion of your data (including archives), even if your subscription is still active
  • Help exporting reasonable account-related data where feasible

To request any of the above, email: [email protected].

Notes:

  • For security, we may need to verify your identity before processing requests.
  • Some information may be retained if necessary for compliance, security, fraud prevention, or legitimate business purposes.

10) Security

We take reasonable administrative and technical steps to protect data, such as access controls and secure infrastructure practices. However, no online service can guarantee absolute security.

Telegram is a third-party platform; messages and delivery depend on Telegram’s availability and systems.

11) Abuse, prohibited activities, and investigations

If we believe a bot is being used for spam, scams, phishing, impersonation, or illegal activity, we may suspend service and preserve relevant records as needed for security, fraud prevention, and compliance purposes.

12) Children’s privacy

NexDesk is intended for business/community support use and is not designed for children. If you believe a child has provided personal information through our Service, contact us at [email protected].

13) Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Effective date” at the top of this page. Continued use of NexDesk after changes means you accept the updated policy.
